Pre-Game Verification Policy & Procedure
TEAM: the team being verified | VERIFIER: the volunteer from the opposing team checking the roster | PROVIDER: the person with the Smart Device from the TEAM
DEVICE: any phone or tablet (Android, Windows, or iOS)
Black Shirt: Moniker assigned to TYFA staff members due to their consistent attire of black shirts while carrying out rule enforcement duties at events.
Why Pre-Game Verification?
TYFA requires pre-game verification of players, coaches and volunteers. This process confirms eligibility and must be completed before every game. It is NOT optional.
It is mandatory for BOTH teams playing a game to verify the players and volunteers of their opponent PRIOR to the game. This cannot be skipped and then done at halftime etc. as it can lead to illegal players being used prior to the check.
This policy is in place to make sure both teams are playing fairly.
If neither team does the verification, then neither can claim any issue if there ends up being illegal players or volunteers on the sideline. Additionally, if TYFA finds out, both teams will be charged with a Level III violation.
Verification by both teams should be completed simultaneously about 15 minutes prior to the scheduled start time of the game.
If a team refuses to allow their players and volunteers to be checked prior to the game, do not argue and walk away. After one play has been run in the game, request a Player/Volunteer Challenge and the team will be forced to have their participants verified at that time. If anyone is found not in the WebApp or with any HOLDS, they will be considered illegal, and the Referees will declare a Class A Forfeit.
Verification is done using a DEVICE and the TYFA Web App which any volunteer of the TEAM has access to when they log into their Volunteer Portal (https://7v7.tyfa.info). The Web App must be used. No paper copies or still images.
Both sides should be calm and non-confrontational during this check.
Once logged in, click Photo Roster, Sport (Football), then the proper Age Bracket for the game being played.
The TEAM should line up the players in a straight line width wise with tackle football helmets off.
If VERIFIER did not see the roster loaded, they have the right to ask for the DEVICE to be refreshed. The verifier should see (https://parents.tyfa.info/#/photo-rosters) in the URL bar, otherwise what they see is NOT valid.
VERIFIER takes possession of the DEVICE and checks they are looking at the correct age bracket. During the processes NEVER EVER should the TEAM be allowed to change the age bracket to get any players verified. PROVIDER cannot claim there is a mistake because mistakes are handled during the week.
VERIFIER should NEVER EVER question players and and making sarcastic or rude comments during any of the process. Compliance will charge the Head Coach of the VERIFIER with a LEVEL IV violation if proven.
VERIFIER will call each name one-by-one and the player will run up to them. Player should be compared to the picture and if good, they walk behind the VERIFIER. If not, the TEAM should be calmly notified that player cannot play.
ONLY players in the WebApp that have NO HOLDS of any type can play. Meaning, if they are not in the WebApp, or they have any hold of any type, they CANNOT play and it they do, they are considered an illegal player. TYFA should be made aware of players a PROVIDER tried to play that did not qualify to play on the GSR.
Once logged in, click Photo Roster, and then select Volunteers.
The TEAM should gather all its volunteers in front of the VERIFIER.

Any player or volunteer who shows up late can still participate regardless of when in the game they show up as long as they are verified by the opposing team per the instructions above.
A late volunteer can bring up their profile and walk over to the opposing team or any monitoring BLACK SHIRT to get checked in.
A volunteer can bring any late player over to the opponent or any monitoring BLACK SHIRT to get them checked in.
